Questions which include both desk and shared resource booking

Q. Can I book on behalf of someone else?

A. Those who have Admin or Owner role have the ability to book on behalf of someone else. If you are making a booking as an Admin or Owner, you will be asked if they want to book on behalf of someone. By clicking the “Book as someone else” button, the “Create booking as” button is activated. Here you can choose someone inside your organisation, who has an activated account , and create a booking for them. Confirmation will go to the person as an email, go into their calendar (where synced), and showing in their Upcoming bookings (where less than 7 days).

Q. Can I add people to my booking?

A. Yes, you can invite others to a booking whilst you are making it. After you have picked your shared resource (not desk) and chosen your time and date, you will be asked if you want to add users to the booking. You will be able to choose users in your organisation who have registered their account in Booking Space. You can not add people outside your organisation, or internally without Booking Space accounts. Unfortunately, there is no functionality currently to add or remove users after the booking is made. It is on our to-do list.

Q. Can I make repeat bookings?

A. Those who have Admin or Owner role have the ability to make repeat bookings. If you are making a booking as an Admin or Owner, after you have selected your meeting duration, you will be asked if you want the booking to repeat. The current options are Daily, Weekly or Monthly. Those with a User role do not have access to this functionality.

Q. How do I edit or cancel my booking?

A. If you have the confirmation email, then click the link and you will be taken straight to the amend/delete booking page of Booking Space. Alternatively, if the booking is on your Booking Space home screen as an upcoming booking, simply click on it and you will be taken to the amend/delete booking page. If neither of these are possible, you will need to find the booking in the calendar. Go as if you are making a booking for the resource, and navigate to the calendar. Locate your booking and click on the event. This will take you to the amend/delete page. Once on the amend/delete page, in the top right hand corner you will see the Cancel booking button. Click on this and the booking will be removed. You will receive an email confirmation that this has happened. To amend the booking, click on the Amend booking button. By clicking on the date you will be able to navigate to another day, by clicking on the start or end time you will be able to change the times. If you change the booking and it clashes with an existing event in the Booking Space calendar, then you will see a warning message and be unable to change to that time.

Remember that for resource bookings Booking Space is the primary source of data. We post to calendars but we are currently unable to receive information from your calendar. If you delete the event from your calendar, this won’t delete the booking in Booking Space. You need to navigate to the tool to initiate this.

Q. Why hasn’t my booking been cancelled or amended?

A. By deleting or amending the event from your own calendar, it does not amend or delete the booking in Booking Space. We post to 3 party calendars but we are currently unable to receive information back from the calendar. You will need to delete or amend your booking in the Booking Space tool.

Q. Why isn’t my booking showing on my home screen?

A. Your home screen only shows bookings that will happen in the next 7 days and it will only show the next 3 which due to happen. 

Q. How can I invite guests who do not have a Booking Space account?

A. The best way to do this is to use the “Create bookings by email” function. Once you have chosen your resource, navigate to the calendar. Click on the “Create bookings by email” button, and you will see an link provided. Click the “Copy to clipboard” button. Next navigate to your calendar and find the time and date you wish to book. Create a calendar; invite your attendees and include the copied link as a guest. Be careful, not to choose a slot where the resource is already occupied as the booking will show in your calendar but will not be registered in Booking Space.

Q. What is the “Create booking by email” function?

A. This function allows you to go to the calendar of the resource you wish to book, copy a link and invite the resource from your synced calendar. It is useful where invitees may change or attendees don’t have a Booking Space account. Although the Booking Space account will not be updated to reflect these changes.

Next navigate to your calendar and find the time and date you wish to book. Create a calendar; invite your attendees and include the copied link as a guest. Be careful, not to choose a slot where the resource is already occupied as the booking will show in your calendar but will not be registered in Booking Space. Additionally, deleting the event from your calendar will not mean that the Booking Space is event is deleted. You will need to go to the tool and delete it in there.
