Everything you need to know about booking a Shared Resource

Q. How do I book a shared resource in Booking Space?

A. On your home screen, you will see the button "Book a shared resource". Click the button and you will be taken to a list of the resources available to you in your office. Click the building you wish (where these have been set up) and then click on the type of resource you wish to book. On the next screen, you will see a series of dates presented to you. If the date you want is there, click this button. If not, click "Another day". If choosing another day, you will see a calendar and you simply pick the day you want.
After you have chosen your date, you will see a list of start times. Click the start time you want. You will then see the resources available to you at this time. Click the resource you would like and then chose the duration. Confirm your booking and you will see/have the following:

  • A celebration icon (blink and you may miss it!)

  • The booking will be saved in the Booking Space calendar

  • The booking will be shown on your Home Screen as an upcoming event if it is in the next 7 days

  • An email from Booking Space confirming your booking (this will also be sent to invitees)

  • If you have your calendar synced (See here) then the booking will be in your calendar.

Q. How do I book a specific resource in Booking Space?

A.  If you know the exact resource you wish to book (e.g. meeting room 1 or car 3) then the best thing to do is use the "View resource calendar" function.  Click the button on your home screen and then you will see a list of resources (make sure you pick which building you need).

Once you have chosen your resource, you will be taken to the calendar page. Navigate to the date you want to book. The view will show you the current week, but if you want a future date either click through the days using the Today button, or click on the Calendar button. Here you will be able to pick a date for the next 12 months. Once you have navigated to your desired date, click on the start time.
The screen will then ask you how long you would like the resource for.  Click your desired length. Next, you will be asked if the booking if just for you, or if you want to include others. If you wish to include others, click the button and field will appear where you can add colleagues from your organisation (if they have activated their Booking Space account). Choose those you wish to invite and press Continue.

You will be taken to a confirmation screen where you can confirm or cancel the booking. If you cancel you will be taken back to the calendar screen. If you want to get out of the booking completely, click on the Booking Space logo on the top left of the screen. If you confirm your booking you will see/have the following:
