Q. How do I book a desk?
A. There are 2 ways, depending on how your Administrator has set up the tool. See below:
Floor plans have been added
On your home screen you will see the functionality to Book a Desk. Click the button and this will take you to one of two places. If your organisation only has 1 floor plan loaded, then you will navigate to the floor plan. If you have more there is more than one floor plan loaded, you will be asked to select your desk location. These are labelled as the building name plus the floor plan. Choose your desired location. Once you have arrived at your desired floor plan, you will be taken to the availability for today. If you wish to book for another day, click the calendar on the top right hand corner of the screen and it will expand. If you want to book in a different month, click the month label and you will be able to navigate to a different month. Find the day you wish to book, click it, and the floor plan for the day will be loaded onto your screen. If someone has booked a desk for the whole day you will see their initials or avatar on the desk. If the desk has been booked for a part day or has 2 people booked for a day, then an orange dot will be shown. To book a desk, click on the green circle (only these desks are available) and a pop-up will appear, asking how long you would like to book the desk for.
If you are booking for a whole day or for the rest of the current day, then click Book whole day. This will book the desk for you. You will receive an email confirmation as well as a calendar entry (if you are using google calendar and have synced your calendar. See here) If you are booking for part of a day, then you will taken to a calendar view. Click your start time and then you will be asked how long you want to book the desk for. Choose the length of time and then confirm your booking.
2.Desks have been set up as a shared resource
There is also an option for the Administrator to set up desks as Shared Resources. Here you will see the desk resource type listed on your home screen and you can book it as a Shared Resource (See here)
Q. How do I make a repeat booking for a desk?
A. Currently only Admins and Owners have the ability to make reoccurring bookings. When they make a booking the tool will ask them whether they would like the booking to reoccur. They can make a booking on behalf of a user.
